Inventory Control Process

Inventory Control lets you perform many operations on bins. You can move products between bins, recount quantities and manage bin settings.

When you view a bin’s details, you can access these operations:

  • Move - Move products from one bin to another
  • Recount - Update product quantities in a bin
  • Swap - Swap products between bins
  • Break UOM - Divide units of measure
  • Print - Print bin information
  • Refill Quantity - Set minimum and maximum quantities
  • Edit Volume - Change bin volume

Move products from one bin to another bin or LPN (License Plate Number).

  1. View the source bin

    Enter or scan a bin to view its details. The bin details screen shows all products in that bin.

  2. Tap Move

    Tap the Move link in the bin details screen. The move window opens.

  3. Enter destination

    Enter or scan the destination bin name or LPN in the To field. You can also scan using the camera icon.

  4. Enter quantity

    Enter the quantity to move in the To Qty field. Use the plus (+) and minus (-) buttons to adjust the quantity.

  5. Select UOM (if needed)

    If the product uses units of measure, select the destination UOM from the dropdown. The app shows available units and calculates conversions.

  6. Add comment (optional)

    Enter any comments about the move in the comment field.

  7. Mark as hurt (optional)

    Check the “Mark as hurt” checkbox if products are damaged.

  8. Confirm move

    Tap OK to confirm the move. The app processes the move and shows a confirmation message.

  • Source bin must not be in processing (unless confirmed)
  • Destination bin must exist and be available
  • Quantity must be valid and match UOM requirements
  • User must have move permissions
  • Products cannot be serialized (serials not supported)

  1. View the bin

    Enter or scan a bin to view its details. Make sure you’re viewing the correct bin.

  2. Tap Recount

    Tap the Recount link in the bin details screen. The recount window opens.

  3. Enter new quantity

    Enter the actual quantity you counted in the New Qty field. Use the plus (+) and minus (-) buttons to adjust.

  4. Select reason (if required)

    If your system requires a reason, select one from the Reason dropdown. Some systems make this required.

  5. Select type (if required)

    If your system requires a type, select one from the Type dropdown. Some systems make this required.

  6. Add comment (optional)

    Enter any comments about the recount in the comment field.

  7. Scan or enter bin (if needed)

    If working with multiple bins, scan or enter the bin name to confirm.

  8. Update quantity

    Tap the Update button to save the new quantity. The app updates the bin and shows a confirmation message.

  • User must have recount permissions
  • Product must not be serialized (serials not supported)
  • Bin must not be in processing (unless confirmed)
  • Reason and type may be required (depends on system settings)

  1. View the bin

    Enter or scan a bin to view its details. The bin details screen shows current refill settings.

  2. Tap Edit Refill Quantity

    Tap the edit icon next to the refill quantity section. The refill quantity window opens.

  3. View current settings

    The window shows:

    • Current bin name
    • Current quantity
    • Current minimum (MinAlert)
    • Current maximum (MaxFill)
  4. Enter new minimum

    Enter the new minimum quantity (MinAlert) in the MinAlert field. Use the plus (+) and minus (-) buttons to adjust.

  5. Enter new maximum

    Enter the new maximum quantity (MaxFill) in the MaxFill field. Use the plus (+) and minus (-) buttons to adjust.

  6. Validate values

    Make sure:

    • MinAlert is less than MaxFill
    • Both values are positive numbers
    • Values make sense for the bin
  7. Update refill quantity

    Tap OK to save the new refill quantities. The app updates the bin and shows a confirmation message.

MinAlert (Minimum Alert):

  • Sets minimum quantity threshold
  • Triggers alerts when quantity is low
  • Helps manage refill needs

MaxFill (Maximum Fill):

  • Sets maximum quantity capacity
  • Prevents overfilling bins
  • Manages bin capacity

Validation:

  • Ensures MinAlert < MaxFill
  • Validates positive numbers
  • Prevents invalid settings
  • MinAlert must be less than MaxFill
  • Both values must be positive numbers
  • Values cannot be empty
  • User must have edit permissions

Swap products between bins to reorganize inventory or correct bin assignments.

  1. View the bin

    Enter or scan a bin to view its details. The bin details screen shows all products in that bin.

  2. Tap Swap

    Tap the Swap link in the bin details screen. The swap window opens.

  3. Select source bin (if multiple bins)

    If the same product appears in multiple bins, a dialog appears showing “Swap from…”:

    • Select the bin you want to swap from
    • Tap the bin from the list
    • The swap window opens
  4. Review source bin

    In the swap window:

    • The From field shows the current bin name (source bin)
    • This is the bin you’re swapping from
    • Verify this is the correct bin
  5. Enter destination bin

    In the To field:

    • Enter or scan the destination bin name or location
    • You can type manually or use the camera icon to scan a barcode
    • The field shows “Bin/Location” as placeholder text
    • Press Enter or tap OK to continue
  6. Confirm location (if needed)

    If the destination bin doesn’t exist at that location:

    • A confirmation dialog appears
    • Message shows: “You are moving an SKU to a location which did not previously contain it”
    • Tap Proceed to continue or Cancel to go back
  7. Confirm swap

    A confirmation dialog appears asking:

    • “Do you want to do swap [bin name] with category [category name]?”
    • Tap Yes to confirm the swap
    • Tap No to cancel
  8. Complete swap

    After confirmation:

    • Tap OK in the swap window to finalize
    • The app processes the swap
    • Bin is moved/renamed to the new location
    • Bin information updates
    • Confirmation message appears
  9. Cancel swap (if needed)

    If you need to cancel:

    • Tap CANCEL button at any time
    • Swap window closes
    • No changes are made
  • Source bin must exist
  • Destination bin name must be valid
  • Bin must not be in processing (unless confirmed)
  • User must have swap/rename permissions
  • Product cannot be serialized (serials not supported)
  • Volume must be at least 1.0 if creating new bin

Update lot numbers and expiration dates for products in bins.

  1. View the bin

    Enter or scan a bin to view its details. The bin details screen shows current lot and expiration information.

  2. Tap Edit Lot or Edit Expiration

    Tap the edit icon next to the lot or expiration section. The edit window opens.

  3. View current information

    The window shows:

    • Current bin name
    • Current lot number (if editing lot)
    • Current expiration date (if editing expiration)
  4. Enter new lot (if editing lot)

    Enter the new lot number in the Enter Lot field.

  5. Enter new expiration (if editing expiration)

    Enter the new expiration date. Use the date format required by your system (usually YYYY-MM-DD).

  6. Confirm change

    Tap OK to save the new lot or expiration date. The app updates the bin and shows a confirmation message.

Lot management:

  • Updates lot numbers
  • Tracks product lots
  • Manages lot information

Expiration tracking:

  • Updates expiration dates
  • Tracks product expiration
  • Manages date information

Date format:

  • Uses standard date format
  • Validates date entries
  • Handles date conversions
  • Lot number must be valid (if editing lot)
  • Expiration date must be valid format (if editing expiration)
  • User must have edit permissions
  • Bin must not be in processing

Change a bin’s volume capacity.

  • Updating bin capacity
  • Correcting volume information
  • Adjusting bin size
  • Managing storage capacity
  1. View the bin

    Enter or scan a bin to view its details. The bin details screen shows current volume.

  2. Tap Edit Volume

    Tap the edit icon next to the volume section. The edit volume window opens.

  3. View current volume

    The window shows the current volume value.

  4. Enter new volume

    Enter the new volume value. Volume must be a positive number greater than 0.

  5. Confirm change

    Tap OK to save the new volume. The app updates the bin and shows a confirmation message.

Volume validation:

  • Ensures volume is positive
  • Validates volume values
  • Prevents invalid volumes

Volume display:

  • Shows volume in bin details
  • Updates volume information
  • Tracks capacity changes
  • Volume must be greater than 0
  • Volume must be a valid number
  • User must have edit permissions
  • Empty values not allowed

Divide units of measure to convert between different UOMs.

  1. View the bin

    Enter or scan a bin to view its details. The bin must have products with UOM.

  2. Tap Break UOM

    Tap the Break UOM link in the bin details screen. The break UOM process starts.

  3. Follow instructions

    The app guides you through breaking the UOM. Follow the on-screen instructions.

  4. Confirm break

    Complete the break UOM process. The app updates quantities and shows a confirmation message.

UOM conversion:

  • Converts between UOMs
  • Divides units properly
  • Updates quantities accordingly

Quantity updates:

  • Updates bin quantities
  • Adjusts UOM factors
  • Maintains accuracy
  • Product must use UOM
  • Bin must have products
  • User must have break UOM permissions
  • UOM conversion must be valid

Mark a bin as ready for printing labels or reports.

Direct print request:

  • Sends bin information directly to the server
  • No additional input required
  • Simple one-click process

Print status:

  • Marks bin as ready to print
  • Confirms print readiness
  • Shows success or error messages
  • Bin must exist
  • User must have print permissions
  • Active internet connection required
  • Print system must be configured

Verify Before Changing

Always check bin details before making changes. Make sure you’re working with the correct bin and product.

Use Scanning

Scan bins and products for faster work. Scanning is more accurate than typing codes manually.

Confirm Locations

Verify locations when moving bins. Make sure destination locations are correct and compatible.

Complete Recounts Properly

Provide reason and type when recounting (if required). This helps track why quantities changed.

Validate Quantities

Double-check quantities before confirming operations. Make sure quantities are correct and valid.

Use Comments

Add comments when performing operations. Comments help track why changes were made.

Problem: You see a message that the bin is in processing.

Solution:

  • Wait for the current operation to complete
  • Confirm the operation if prompted
  • Check if other users are working with the bin
  • Try again after a few moments

Problem: You see a message that serialized products are not supported.

Solution:

  • Use other activities for serialized products
  • Inventory Control doesn’t support serialized items
  • Use Picking or other modules for serialized products

Problem: You see an error about invalid quantity.

Solution:

  • Check that quantity is a positive number
  • Verify UOM conversions are correct
  • Make sure quantity doesn’t exceed available amount
  • Check quantity format and decimals
